Volunteer Coordinator

POSITION: Volunteer Coordinator
STATUS: Full-Time
REPORTS TO: Director of Client Experience and Engagement

The Dementia Society of Ottawa and Renfrew County (DSORC) is a non-profit, charitable organization that links individuals with Alzheimer’s disease and other dementias and their families to support, education, and resources.

Working as a member of a dynamic team, the Volunteer Coordinator is responsible for the development and implementation of the Volunteer program at the Dementia Society of Ottawa and Renfrew County (DSORC). This position will involve extensive collaboration with numerous DSORC team members, particularly program, to ensure efficient, smooth onboarding, engagement and retention of volunteers. This person is a
strategist who sees the big picture while staying on top of all the details.

The Volunteer Coordinator plays a key role at DSORC. This role includes working in a multi-sector environment to forge partnerships and seek out opportunities for us to partner with individuals and organizations to strengthen our volunteer engagement and therefore all aspects of DSORC, including fund development, program delivery, special events and administrative support. This position is instrumental to the success of the DSORC Strategic Plan.


  • Builds and maintains a culture of volunteerism at DSORC
  • Builds and maintains a professional volunteer program with consistent processes and standards to protect both the rights and responsibilities of volunteers and DSORC
  • Works closely with Managers and Directors at the strategic level to ensure successful consideration and implementation of a mission-based volunteer program
  • Creates and implements an annual work plan with measurable goals aligned with DSORC strategic plan and directions
  • Provides leadership to all volunteers and volunteer supervisors at DSORC
  • Understands the roles and responsibilities of all members of DSORC staff
  • Conducts DSORC volunteer needs assessment for Ottawa and Renfrew County
  • Successfully plans and implements all aspects of the volunteer management cycle:
    • Recruitment
    • Screening
    • Designating volunteer assignments
    • Orientation and Training
    • Recognition
  • Work with external local and provincial partners to coordinate intake and referral of
    volunteers where applicable
  • Educates and supports staff to fulfill their responsibilities as supervisors of
    volunteers for their program or department.
  • Develops, maintains and oversees delivery of volunteer “Introduction to DSORC”
    training for all volunteers
  • Supports the development, maintenance and delivery of training modules
    for specialized roles (e.g. support group volunteers)
  • Researches and develops volunteer policies and procedures and maintains an
    orientation package for volunteers
  • Manages volunteer records to meet operational and statistical guidelines and
  • Maintains accurate and complete records of all volunteers in VOME database
  • Submits monthly, quarterly and annual statistical reports to finance and leadership teams from the volunteer module of Raiser’s Edge
  • Prepares and manages a volunteer program budget
  • Other duties as required


  • Graduate from a University program with a Business degree; focus on volunteer
    management is preferred or equivalent experience
  • Demonstrated knowledge of volunteer laws and best practices and sector trends
  • 5+ years’ experience in a volunteer coordination or similar role
  • Experience creating and implementing Standard Operating Procedures (SOPs)
  • Must demonstrate flexibility, strong commitment to meeting deadlines and solid decision-making skills
  • Demonstrated experience successfully managing virtual and remote volunteer programs
  • Demonstrated ability to work with a high level of independence
  • Strong leadership skills & abilities, as well as a collaborative approach to teamwork and morale building
  • Superior analytical, critical thinking and problem solving skills
  • Excellent communication skills
  • Bilingualism in both official languages is an asset
  • Excellent time management and organizational skills
  • Ability to inspire motivation and teamwork in a diverse group setting
